We have developed our own privacy principles which embody the National Privacy Principles contained in the Privacy Act 1988 (Privacy Act).

What is “personal information”?

Personal information is any information about you which identifies you or by which your identity can be reasonably determined.

Personal information which we may collect and hold includes:

• name, address and contact details
• date of birth
• bank account detail, and
• details of the services provided to an individual by Optivest.

Personal information collection, use and disclosure policies

Optivest will only collect personal information from you in order to process an application, administer information, provide administrative services relating to an investment, and comply with statutory laws and regulations.

We will not collect any personal information about you unless you have knowingly provided that information to us or authorised a third party to provide that information to us.

Unless you ask us not to, we may also use your personal information to:

• identify other services which may be of interest to you and provide you with information about those services
• maintain an ongoing relationship with you
• conduct market research, or
• conduct surveys on customer satisfaction.

Optivest will only disclose an individual’s personal information to a third party with their consent, or where Optivest is otherwise entitled or required to do so. Third parties we may disclose personal information to include an individual’s financial adviser, auditors, regulatory bodies and external contractors who provide data backup and restoration.

Before providing information to external contractors, we will obtain the agreement of those contractors to treat personal information in accordance with the requirements of the Privacy Act.

Document storage and security policies and practices

We will at all times seek to ensure that the personal information collected and held by us is protected from misuse, loss, unauthorised access, modification or disclosure. At all times your personal information is treated as confidential.

Optivest uses security procedures to protect all personal information we hold. Access to and the use of personal information is appropriately limited to prevent misuse or unlawful disclosure of the information.

In the event you cease to be an Optivest client, any personal information we hold about you will be kept for up to seven years in order to comply with legislative and professional requirements.

Gaining access to your personal information

You can access the personal information we hold about you, subject to the exceptions in the Privacy Act. If you wish to gain access to your personal information, then please contact Optivest’s Privacy Officer at one of the contact points below.

Optivest will take reasonable steps to ensure the personal information we retain is current, accurate, complete and securely maintained. If you can show us that the information we hold about you is not complete or accurate, then we will take the necessary steps to correct it.

How a privacy complaint may be made

We are committed to providing you with a fair and responsible system for handling complaints. If at any time you have any complaints in relation to privacy, please contact our Privacy Officer at one of the contact points below.

We will try to resolve any concerns you may have to your satisfaction within seven days.

However if you are unhappy with our response, you are entitled to contact the Office of the Federal Privacy Commissioner (www.privacy.gov.au) may investigate your complaint further.
